Privacy Policy
How QuoteVet collects, uses, shares, and retains information about homeowners and contractors. Section 4 covers call recording and section 11 covers the rights you can exercise.
We collect what we need to find contractors for your project and get you quotes: your contact details, your property address, what you want done, any photos and walkthrough video you upload, and the messages and calls exchanged along the way. Telephone calls with QuoteVet are recorded and transcribed. If you ask for pricing without a home visit, photos and a short video are required, and we strip the hidden location data from them before a contractor can see them.
We share your project details with contractors so they can quote it (not your email address or phone number), and with the vendors that run our email, phone, database, and AI systems. We do not sell your information for money. Advertising partners such as Google, Microsoft, and OpenAI measure and show our ads using tags on our public pages and a hashed copy of your email address, which some state laws call a "sale" or "sharing" (sections 7 and 8). They never get your phone number or project details. You can turn this off on our Your Privacy Choices page or with Global Privacy Control, and you can ask us to access, correct, or delete your information at support@quotevet.com.
This revision takes effect on October 22, 2026 and replaces the version revised October 18, 2026. It adds how QuoteVet's own systems record the way our forms and pages are used, and the first-party cookie that goes with it (sections 2.2, 3.1, 6.3, 7.1, and 9.1). Nothing changes in what advertising partners receive. We have used advertising technologies since the October 18, 2026 revision, and we never send advertising partners information we collected before then.
Scope and who we are
QuoteVet, LLC is a Minnesota limited liability company ("QuoteVet," "we," "us," or "our"). This policy explains how we handle personal information collected through quotevet.com, its subdomains, our email and telephone systems, and the services we provide.
It applies to homeowners who use the service, contractors we contact or who opt in, and visitors to our website. It does not apply to any contractor's own handling of your information after we introduce you — that is governed by their practices, not ours.
Our service is intended for users in the United States. If you access it from elsewhere, understand that your information will be processed in the United States, where privacy laws may differ from those where you live.
Our Terms of Service govern your use of the service and are incorporated here by reference.
Information we collect
Information you give us directly.
| Category | Examples |
|---|---|
| Identifiers | Name, email address, telephone number, account username |
| Property and location | Service address, ZIP code, property details you describe |
| Project information | Project type, scope, description, whether you are open to home visits, photos, walkthrough video, or documents you upload, budget or timeline notes, availability windows |
| Account credentials | Password, stored in hashed form by our platform provider |
| Communications | Emails, form submissions, support requests, and the content of telephone calls (see section 4) |
| Contractor business information | Business name, contact details, service categories, service area, license and insurance statements, quotes and supporting documents |
| Payment information | Handled by Stripe. We receive a transaction confirmation, amount, and payment status. We never receive or store your full card number. |
Information collected automatically. When you visit our website we and our infrastructure providers collect IP address, browser and device type, operating system, referring page, pages viewed, timestamps, and similar technical data. Our email delivery provider records whether messages were delivered, opened, or clicked. Our platform records when a contractor first opens a booking link, so we can tell whether outreach reached someone. When you reach our website from an ad, the link carries an ad click identifier that we keep in a cookie on your browser and with your coverage check, and the advertising technologies described in section 7 set and read their own cookies.
Our own systems also record how our forms and pages are used: which fields you fill in and in what order, how long each step takes, whether a field was typed, pasted, or filled in by your browser's autofill, which choices you made among our options, which messages and errors you saw, and where you left. For your email address, phone number, and the free-text boxes (notes, visit notes, the do-not-contact list, and the description of your availability), we record only that the field was used, its approximate length, and whether it was valid, never what you typed. These records stay with QuoteVet, are not shared with advertising partners, and are kept with a random identifier (section 7.1) and, once you submit a coverage check, with that coverage check.
Information from other sources. To identify contractors suited to a project, we use publicly available business listings, directories, business websites, and similar public sources. This information concerns businesses and their published contact details. Where a homeowner selects preferences about the kind of business they want us to approach, we also collect publicly available information about how a contractor business is owned and run, as described in section 2.7.
Information we generate. We create records about your project: status history, outreach and response tracking, appointment records, contractor reliability signals, and the automated analysis and scoring of quotes.
Sensitive information. We do not ask for Social Security numbers, financial account numbers, government identification numbers, precise geolocation, health information, biometric data, or information about race, religion, sexual orientation, or union membership. Please do not include any of it in messages, uploaded documents, photos, or video — including anything said aloud while recording.
Project photos and walkthrough video. You can show contractors the job in two ways. On a project where contractors will visit your home, photographs and a walkthrough video are both optional and the service works without them. On a photo and video estimate — a project where you have told us you do not want site visits, so contractors price the job remotely — we require at least four photographs and one walkthrough video of up to 60 seconds, because contractors are pricing something they will never see in person. A walkthrough video includes audio: anything you say while recording, and anyone speaking nearby, is part of what contractors receive.
We remove embedded metadata. Photographs and video taken on a phone commonly carry hidden metadata, including the GPS coordinates of where they were captured, the make and model of the device, and the date and time of recording. We strip that metadata from every photograph at the moment it is uploaded. Video is uploaded to our servers, where we remove the location, device, and timestamp metadata before the clip is stored, and no contractor can access a video until that step has completed. The stored copies do not contain that metadata, and the pictures and footage themselves are not altered. We do this because we deliberately withhold your street address from contractors until one confirms they want to quote your project, and leaving location data embedded in a photograph or video would quietly defeat that.
What we cannot remove is anything visible or audible in the recording itself — a house number on the wall, a street sign through a window, or your address spoken aloud. Film the work, not the household, and see section 12.6 of our Terms of Service for what to leave out.
Photos and video are stored on infrastructure we control, not on our website platform, and are never made public or indexed by search engines. They are not sent to our AI providers. Section 6.1 explains who can see them and section 9.1 explains how long we keep them.
Contractor values information. Homeowners on our Premium plan can tell us what kind of business they would like us to approach — for example independently owned, family-owned, employee-owned, locally based, long established, a single-location business, a union contractor, or one holding trade certifications.
When that happens, we research each candidate contractor using public sources — company websites, press releases, business directories, and business profiles — and record what we find: whether the business appears to be independently owned or part of a franchise, chain, or private equity group, the parent company where there is one, the year it was founded, the number of locations, union affiliation, trade certifications, and a link to the source behind each of those. The research is carried out by automated tools, including AI, as described in section 5.
This is information about businesses, not about their owners. We do not collect, infer, or record the race, ethnicity, sex, gender identity, sexual orientation, religion, disability, national origin, age, or veteran status of any contractor's owners or employees, and homeowners cannot choose preferences based on any of those characteristics.
Contractors can ask us to correct or remove values information about their business at support@quotevet.com.
How we use information
We use personal information to:
- determine whether we can serve your location and project type;
- identify contractors suited to your project and contact them on your behalf;
- share the photographs and walkthrough video you upload with the contractors we match to your project, so they can scope and price the job;
- research contractor businesses from public sources, where you have chosen preferences about the kind of business you want approached, and label what we found;
- coordinate appointments and share the availability windows you provide;
- collect, store, organize, and deliver quotes to you;
- generate automated analysis and scoring to help you compare quotes;
- process payments and issue refunds;
- create and secure your account and authenticate you;
- send transactional messages about your project and respond to support requests;
- maintain contractor do-not-contact flags and honor opt-out requests;
- monitor, troubleshoot, secure, and improve the service, including finding where people get stuck in our forms and reviewing calls and messages for quality and accuracy;
- detect and prevent fraud, abuse, and misuse;
- comply with law, enforce our Terms, and establish or defend legal claims;
- measure and improve our advertising, including telling an advertising partner when an ad it showed led to a coverage check or a purchase, and showing QuoteVet ads to people who have visited our website, unless you have opted out (sections 7 and 8);
- send marketing about our services, where you have not opted out.
We may create de-identified or aggregated information — statistics about project types, pricing ranges, and response rates — and use it for any lawful purpose, including improving the service. We do not attempt to re-identify it.
Call recording and monitoring
Telephone calls placed by QuoteVet, and telephone calls you place to QuoteVet, are recorded and transcribed. Our automated voice agents disclose at the beginning of each call that the call is being recorded and that the agent is an artificial intelligence assistant.
Why. Recordings and transcripts let us capture quote details accurately, confirm what was scheduled, resolve disputes about what was said, honor do-not-contact requests, review and improve the quality of our agents, and meet our record-keeping obligations.
If you do not consent. You can decline. Tell the agent, hang up, and reach us at support@quotevet.com — we are happy to handle everything by email instead. Continuing a call after the recording disclosure indicates your consent to being recorded.
Who can hear them. Recordings and transcripts are accessible to QuoteVet and to the telephony and AI vendors that process them on our behalf. We do not release recordings to other callers or to contractors except where necessary to resolve a dispute or where the law requires it.
How long. Recordings and transcripts are retained for 12 months and then deleted, unless a longer period is needed for an open dispute, investigation, or legal obligation. You can request a copy of a recording of a call you participated in, or ask us to delete it, under section 11.
Artificial intelligence processing
We use AI systems provided by third parties to match contractors to projects, research contractor businesses from public sources, classify and route incoming messages, interpret scheduling requests, conduct telephone conversations, and analyze quotes.
To deliver those features, project details, message content, quote documents, and call audio or transcripts are transmitted to those providers and processed by them. Project photographs and walkthrough video are not sent to AI providers; they are shared only with contractors, as section 6.1 describes. Our AI providers act as our service providers and are contractually restricted to using the information to provide services to us.
We do not authorize our AI providers to use your personal information to train their general-purpose models, and we select providers and settings intended to prevent that. Their own policies also apply to their processing.
Automated processing is used to organize, summarize, and score information for your convenience. It is not used to make legal or similarly significant decisions about you, and it does not determine eligibility for credit, housing, insurance, or employment.
How we share information
With contractors. This is the core of the service. To get you a quote, we give contractors your project details and location, your first name and the contact routing needed to reach you, appointment windows, whether you want a home visit or a photo and video estimate, and any documents, photos, or video you attached. Once a contractor has that information, their own handling of it is outside our control.
Your email address and phone number. We don’t give contractors your email address or phone number when we reach out for you. Their replies, questions, and visit updates come to you through QuoteVet. We don’t sell your request to contractors as a lead. If you contact a contractor yourself, for example by calling or texting them, or share your details during a visit, they’ll have whatever you share with them.
How photos and video in particular are shared. Photographs and video are not attached to emails. Each contractor on your project receives a private link that is unique to their business. The page it opens shows the photographs and, where you provided one, the walkthrough video — and nothing else: no name, no street address, and no contact details. The video plays on that page. Because some browsers cannot play phone video formats, the page also lets a contractor download the clip to watch it on their own device; once downloaded, it is in their possession in the same way as a photograph they have viewed. Those links stop working 45 days after outreach begins, and we can revoke an individual contractor's link at any time, including when a contractor asks not to be contacted again or is removed from your project.
With homeowners. Contractor business information, the values information described in section 2.7 and the sources behind it, quotes, and quote analysis are shared with the homeowner whose project they concern.
With service providers. We use vendors that process information on our behalf and are contractually limited to that purpose:
| Category | What they handle |
|---|---|
| Website and database platform | Site hosting, account records, project and quote records |
| Hosting, storage, and network | Servers, file storage for quote documents and project photos and video, security and delivery |
| Workflow automation | Moving information between our systems |
| Email delivery and hosting | Sending and receiving project email |
| Telephony and voice AI | Placing and answering calls, recording, transcription |
| AI model providers | Matching, message classification, scheduling, quote analysis |
| Payment processing | Checkout, payment confirmation, refunds |
| Website analytics | Counting visits and pages viewed on our own infrastructure, without advertising cookies, and keeping the form-usage records in section 2.2 in our own database (advertising partners are in section 6.9) |
For legal reasons. We may disclose information where we believe in good faith it is necessary to comply with a law, subpoena, warrant, or other legal process; to enforce our Terms; to investigate fraud or abuse; or to protect the rights, property, or safety of QuoteVet, our users, or the public.
Business transfers. If QuoteVet is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. We will require the recipient to honor this policy or give you notice and a choice.
With your direction. We share information in other ways when you ask us to.
We do not give personal information to anyone for their own independent marketing. The advertising partners in section 6.9 receive limited information so they can measure and show QuoteVet's ads. Under their own terms they may also use it to run and improve their advertising services, and their privacy policies govern that use.
Project questions, answers, and shared documents. Contractors working on a project can send the homeowner questions through QuoteVet. When the homeowner answers, we share the question and the answer with every contractor on the project, without saying which contractor asked. The homeowner can see which contractor asked each question.
Scope updates, answers, and documents a homeowner shares on a project are visible to every contractor on that project, as described in section 12.8 of our Terms of Service. Before sharing, we remove phone numbers, email addresses, and links from scope text, answers, and document labels, and we remove location data from photos.
When a homeowner removes a shared document, we delete it from our file storage. We keep project questions, answers, and scope versions along with the rest of the project record.
With advertising partners. We work with these advertising partners: Google (Google Analytics and Google Ads), Microsoft (Microsoft Advertising, which runs ads on Bing), and OpenAI (ads in ChatGPT). If we start advertising with Meta (Facebook and Instagram), its pixel runs under the same rules. We add any other partner to this list before its technology runs on our website. Section 7 describes what they receive and how to turn it off.
Advertising partners never receive your phone number, your street address, your project description or notes, your photos or video, your quotes, or your messages and calls.
OpenAI is also one of our AI model providers (section 5). We keep the two roles apart: what we send OpenAI to run the service is never sent as advertising data, and its advertising pixel never receives project details.
Cookies and tracking
We use cookies and similar technologies that are necessary for the site to work — keeping you signed in, remembering form progress, and protecting against abuse. These cannot be turned off without breaking the service.
Our own usage records. We also set a first-party cookie named qv_id that holds a random identifier, so the records described in section 2.2 can tell one visit from the next. It lasts about 13 months, is not an advertising cookie, and is never sent to advertising partners. When your browser sends a Global Privacy Control signal we do not set it, and those records last only for the visit. The Your Privacy Choices page turns off advertising tags; it does not stop these records. To have yours deleted, email support@quotevet.com.
Analytics and advertising technologies. The pages listed in section 7.3 load tags from the advertising partners in section 6.9: the Google tag (Google Analytics and Google Ads), the Microsoft Advertising UET tag, the OpenAI measurement pixel, and the Meta pixel if we advertise there. These tags set or read cookies on your browser and send the partner the page you are on, the page that sent you, the ad click identifier if you arrived from an ad, your IP address, and information about your browser and device. Partners use this to count visits, to measure which ads lead to a coverage check or a purchase, and to show QuoteVet ads to people who have visited our website.
To learn how Google uses this information, see How Google uses information from sites or apps that use its services.
Where they run. These tags load only for visitors in the United States, and only on our public pages and the coverage-check form: the home page, How It Works, About, FAQ, Field Notes, the coverage check, and the plan pages that follow it. They never load on your project page, account and sign-in pages, scheduling, photo, booking, or quote-upload pages, contractor pages, or the order confirmation page. Before October 18, 2026, they did not load at all.
Measurement with a hashed email address. When you submit the coverage-check form, we tell the advertising partners that the form was submitted, together with a hashed copy of your email address: a scrambled code produced with the SHA-256 algorithm, so the partner can match the submission to an ad it showed. When you later buy a plan, we may send the partner whose ad brought you the same hashed email address, the ad click identifier, the plan, and the price. Hashing hides the address itself, but a partner can still match it to an account it already knows, so we treat it as personal information. We never send phone numbers, hashed or otherwise.
Your Privacy Choices. The Your Privacy Choices link in our footer opens a page where one click turns these tags off in that browser and marks any coverage check you submit from it as opted out, so we never send its details to advertising partners. The choice is saved in a cookie on that browser. To opt out everywhere, including records we already hold, use section 8.3.
Global Privacy Control. We treat a Global Privacy Control signal from your browser as a valid request to opt out of the sale or sharing of your personal information and of targeted advertising, for the browser that sends it. When we detect it, the tags in section 7.2 do not load, coverage checks submitted from that browser are marked as opted out, and our Your Privacy Choices page tells you the signal was honored.
You can block or delete cookies through your browser settings, and can opt out of many advertising cookies through the industry tools at optout.aboutads.info and optout.networkadvertising.org. Blocking necessary cookies may prevent parts of the service from working.
Do Not Track. Browsers offer a Do Not Track setting, but there is no common standard for responding to it, and we do not currently respond to it. We do respond to Global Privacy Control as described above.
Sale or sharing of personal information
We do not sell your personal information for money, and we have never done so.
Some state privacy laws, including those of California, Colorado, Connecticut, Minnesota, Oregon, and Texas, treat letting advertising partners collect information through a website, or sending them a hashed email address to measure ads, as a "sale," "sharing," or "targeted advertising," even when no money changes hands. Since October 18, 2026, we have done this as described in sections 6.9 and 7.
The categories involved are identifiers (a hashed email address, cookie and device identifiers, ad click identifiers, and IP address), internet or network activity (the pages you view on our website and the page that sent you), and commercial information (that you submitted a coverage check or bought a plan, and its price). Before then we did none of this, and we never send advertising partners information we collected before this revision took effect.
How to opt out. Use the Your Privacy Choices link in our footer, turn on Global Privacy Control in your browser, or email support@quotevet.com with the subject line "Privacy Request — Opt out." The first two work for the browser you use them in. An email request covers every record we hold under your email address, now and in future, and we apply it within 15 business days. You do not need to verify your identity to opt out, and opting out never changes the price or the service you get.
We do not knowingly sell or share the personal information of consumers under 16 years of age.
How long we keep information
We keep personal information only as long as we need it for the purposes in this policy.
| Information | Retention |
|---|---|
| Project records, messages, quotes, and quote documents | 24 months after the project closes |
| Project photos and walkthrough video you uploaded | Deleted when the project closes |
| Photos and video attached to a project that is never purchased | Deleted within 48 hours |
| Contractor access links to project photos and video | Expire 45 days after outreach begins |
| Contractor values research and the source links behind it | Kept with the contractor's business record and re-checked at least every 90 days |
| Call recordings and transcripts | 12 months |
| Records of how our forms and pages were used (section 2.2) | 13 months |
| Account records | While the account is active, then 24 months |
| Payment and transaction records | As long as tax, accounting, and chargeback rules require, generally 7 years |
| Do-not-contact and opt-out records | Indefinitely, so we can keep honoring the request |
| De-identified and aggregated data | Indefinitely |
Photographs and video are deleted sooner than the rest of the project record on purpose. They are the most personal thing most homeowners send us, they stop being useful once quoting is finished, and there is no good reason to keep pictures and footage of the inside of someone's house for two years.
We may keep information longer where necessary to resolve a dispute, investigate a security incident, enforce our agreements, or comply with a legal obligation or preservation request. When a retention period ends, we delete the information or de-identify it.
Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information: encryption in transit, access controls, token-based links for quote documents and project photos and video, and vendors that maintain their own security programs.
No system is perfectly secure, and we cannot guarantee absolute security. Protect your account with a strong, unique password, keep quote document, photo, and video links private, and tell us at support@quotevet.com if you suspect a problem.
If a breach affecting your personal information occurs, we will notify you and any required authority as the law requires.
Your privacy rights
Depending on where you live, you may have the right to:
- Know and access — the personal information we hold about you, where it came from, why we collected it, and who we disclosed it to;
- Correct — inaccurate personal information;
- Delete — personal information we hold about you, subject to legal exceptions;
- Portability — a copy in a portable, machine-readable format;
- Opt out — of the sale or sharing of personal information, targeted advertising, and certain profiling;
- Limit — the use of sensitive personal information;
- Non-discrimination — we will not deny service, charge a different price, or provide a lower quality of service because you exercised a right.
These rights are recognized in states including California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Minnesota, and others with comprehensive privacy laws. We extend the core rights above to all United States residents as a matter of practice.
How to make a request. Email support@quotevet.com with the subject line "Privacy Request," tell us which right you want to exercise, and use the email address associated with your project or account so we can locate your records. We may ask for additional information to verify your identity — enough to match you to your records, and no more. Requests to opt out of sale, sharing, or targeted advertising need no verification; see section 8.3.
Timing. We respond within 45 days, and may extend once by another 45 days where necessary, with notice to you. There is no charge for a reasonable request.
Authorized agents. You may use an authorized agent to submit a request. We will require written proof of authorization and may still ask you to verify your identity directly.
Appeals. If we decline a request, you may appeal by replying to our decision with "Privacy Appeal" in the subject line. We will respond within 45 days with our decision and reasoning. If we deny the appeal, you may contact your state attorney general.
Limits on deletion. We may keep information needed to complete a transaction, comply with a legal obligation, maintain security, defend legal claims, or honor an opt-out. If you ask us to delete a do-not-contact record, we can no longer guarantee we will not contact you again.
Photos and video. You can ask us to delete photographs or video you uploaded at any time, without deleting the rest of your project. Email us and we will remove them and invalidate every contractor link to them. Contractors who already opened a link may retain their own copies, which is outside our control. On a photo and video estimate, deleting them may leave contractors unable to price your project.
Contractors. If you are a contractor and want to stop receiving outreach, the fastest route is to reply to any message, tell an agent on a call, or email us — we will flag your business as do-not-contact.
California residents
Under the California Consumer Privacy Act as amended, in the 12 months before the revision date of this policy we collected the categories of personal information described in section 2, from the sources in section 2, for the purposes in section 3, and disclosed them for a business purpose to the categories of recipients in section 6. We did not sell or share personal information in that period. From October 18, 2026, we share, and may be considered to sell, the categories listed in section 8.2 with the advertising partners in section 6.9, for cross-context behavioral advertising and ad measurement. You can opt out as section 8.3 describes.
Specifically, we collect identifiers, customer records information, commercial information, internet or network activity, geolocation at the level of the service address you provide, audio information in the form of call recordings and the soundtrack of any walkthrough video you upload, visual information in the form of project photographs and walkthrough video you choose to upload, and inferences drawn to match projects to contractors. We do not collect biometric, health, precise geolocation, or government identifier information.
We do not use or disclose sensitive personal information for purposes beyond those permitted without a right to limit under California law.
California's "Shine the Light" law lets residents request information about disclosure of personal information to third parties for their direct marketing purposes. We do not make such disclosures.
Exercise any California right using the process in section 11.2.
Children's privacy
The service is intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under 18, and never from anyone under 13.
If you believe a child has given us personal information, contact support@quotevet.com and we will delete it.
Third-party links
Our service links to third-party sites, including contractor websites and our payment processor's checkout. We do not control their privacy practices and are not responsible for them. Read their policies before giving them information.
Changes to this policy
We may update this policy. When we do, we will change the revision date at the top of this page. For material changes we will give reasonable notice by email or an on-site notice before the change takes effect.
Continuing to use the service after a change takes effect means you accept the updated policy.
Mobile messaging
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
When we collect a mobile number. Providing a mobile number is optional. We collect it only if you enter it during scheduling and check the box consenting to receive text messages. We record the number you consented to, together with the date and time of consent, as evidence that consent was given.
What we use it for. Appointment confirmations, scheduling changes, and reschedule links for your own project. We do not send marketing or promotional text messages. Consent to receive text messages is not a condition of purchase.
Who processes it. The mobile number and the message content are handled by our text message delivery vendor and by the mobile carrier that delivers the message, acting on our behalf and limited to that purpose. Your mobile number is not given to contractors as part of the text message program; contact routing with contractors is described in section 6.
Opting out. Reply STOP to any message to stop text messages at any time. Reply HELP for assistance, or write to support@quotevet.com. Opting out of text messages does not stop transactional email about an active project. Message and data rates may apply, and message frequency varies.
How long we keep it. We retain the mobile number, the consent record, and the message log for as long as needed to operate the program and to evidence consent, and then delete them in line with section 9. You can ask us to delete your mobile number under section 11.
Never used for advertising. Mobile numbers, hashed or otherwise, are never sent to advertising partners or used to measure or target ads.
